Receiving a Request for Further Information (RFI) from the Australian Department of Home Affairs means a case officer is looking at your application. Generally, they provide a strict 28-day window to respond.
Missing that deadline is an emergency, but it does not equal an automatic, immediate refusal. The Department has the legal power to make a final decision on your application based only on the documents they have on hand. If a crucial document is missing, that decision is usually a refusal.
If your 28-day clock has run out, you must act immediately to protect your application.
The Immediate Damage Control Workflow
Do not panic and do not ignore the account. The department processes thousands of applications, and there is often a brief administrative buffer between the deadline expiring and a case officer reopening your file to make a final assessment.
1.Secure the Requested Evidence Immediately:Step 1.
Obtain the exact document requested (e.g., your penal clearance certificate, English test result, or health assessment confirmation). If the document is delayed by a third party, secure written proof of your attempt—such as a paid booking receipt or a tracking confirmation email.
2.Draft a Formal Notice of Delay Statement:Step 2.
Write a clear, brief statement explaining exactly why the deadline was missed. Keep it professional and factual: explicitly state when you requested the document, why it was delayed outside your control, and the exact date you expect to have it.
3.Upload Everything via ImmiAccount:Step 3.
Log into your ImmiAccount immediately. Go to your active application, navigate to the Attach Documents section, and upload both the missing evidence (or the proof of your attempt) alongside your Notice of Delay statement.
4.Trigger the ‘Information Provided’ Button:Step 4.
After uploading, locate the button labeled “I have provided all requested information” and click it. This formally signals to the processing system that an update has occurred, forcing the system to flag your application for review rather than letting it sit as an expired default.
When Does Home Affairs Allow Extensions?
The Department handles late submissions based on the concept of “compelling or compassionate circumstances.” They will generally show leniency if you prove you acted in good faith within the original 28 days but were blocked by factors beyond your control.
| Acceptable Reasons for Delay (With Proof) | Unacceptable Reasons (Likely Refusal) |
| Backlogs at third-party government agencies issuing official police checks. | “I forgot to check my ImmiAccount notifications or email junk folder.” |
| Hospitalization, critical illness, or a major medical emergency. | “I couldn’t book an English test or medical exam slot in time.” |
| Natural disasters or systemic localized infrastructure outages. | “I did not understand what the case officer was asking for.” |
Notice of Delay Statement Template
If you are uploading a late submission or proof of a pending document, upload a plain text document using this exact layout to catch the case officer’s eye:
SUBMISSION REGARDING LATE RFI RESPONSE
Application ID: [Your ImmiAccount Application ID]
Visa Subclass: [e.g., Subclass 500 / Subclass 190]
Applicant Name: [Your Full Name]
I am writing in reference to the Request for Further Information (RFI) issued on [Date on RFI Letter], which carried a response deadline of [Deadline Date].
I deeply regret that this response is being finalized past the prescribed 28-day window. This delay was entirely caused by third-party processing timeframes outside of my personal control. Specifically:
- Document Requested: [e.g., AFP National Police Check / Bupa Medical Exam]
- Date Actioned: I formally applied/booked this on [Date you tried to get it, which should be within the 28 days].
- Reason for Delay: [e.g., The processing agency experienced an administrative backlog, as shown in the attached receipt].
Current Status: [Select Option: I have now attached the final completed document OR I have attached the booking confirmation and expect the final document to be issued on or about Date].
I respectfully request that the delegate considers this information under policy guidelines for exceptional third-party delays and refrains from finalizing the application unfavorably.
