If you are encountering an error, it is almost always due to a mismatch between the information you are entering and the data currently held by the Department of Home Affairs. Here is a breakdown of why this happens and how you can resolve it.
Common Reasons for VEVO Errors
1. You Have a New Passport
This is the most common reason for a VEVO error. If you have recently renewed your passport, your visa remains linked to the old passport number in the Department’s system until you formally update it. VEVO will not recognize your new passport number because it hasn’t been “officially” introduced to your visa record yet.
2. Mismatched Personal Details
Even if the passport number is correct, VEVO checks it against other identifiers. A tiny discrepancy in the following fields can trigger an error:
- Name: Ensure the name you enter matches the spelling on your visa grant notification exactly (including middle names).
- Date of Birth: Double-check that the format is correct and matches what the Department has on file.
- Country of Issue: Ensure you are selecting the country that issued the passport, not your country of nationality, if they happen to be different.
3. Character Confusion
The VEVO system is sensitive to common character mistakes. It is easy to confuse:
- The letter “O” with the number “0”.
- The letter “I” with the number “1”.
- Check the “Machine Readable Zone” (the text at the bottom of your passport’s identity page) to confirm the exact characters used in your passport number.
4. The Visa Is Not “In-Effect”
VEVO can only display details for visas that are currently active (“in-effect”). If your previous visa has expired and your new one has not yet started, or if you are on a bridging visa that hasn’t been activated, the system may return an error because there is no “live” status to verify.
How to Fix the Issue
Step 1: Update Your Passport Details
If you have a new passport, you must notify the Department of Home Affairs. You can do this easily through your ImmiAccount:
- Log in to your ImmiAccount.
- Expand your application details using the “+” icon.
- Select “Update details”.
- Choose “Change of passport details” and enter your new information.
Once processed, your VEVO check should work with the new passport number.
Step 2: Double-Check Your Input
If you are using your existing, unchanged passport, clear your browser cache or try using a different web browser. Ensure you are not accidentally adding extra spaces before or after your passport number or date of birth.
Step 3: Verify Your Reference Number
If the passport number is not the issue, try using a different reference number to access VEVO, such as:
- Visa Grant Number: Found on your visa grant notification letter.
- Transaction Reference Number (TRN): Found on your online lodgement summary.
Step 4: Contact the Department
If you have tried the above and still cannot access your details, there may be a technical error with your electronic record. You may need to contact the Department of Home Affairs or use the VEVO Enquiry Form to resolve the discrepancy.
